Understanding Team Roles and Permissions

When you add someone to your SmartChange organization, their role decides what they can do. There are three roles. You can see them in Settings → Members under Roles. Each role card shows how many people have it.

Settings Members with the members table and Roles cards

Organization owner

Everything, including money out and who else gets in. Give this role to as few people as you can. An organization can have more than one owner.

  • Bank & payouts
  • Refunds
  • Invite people
  • Change settings

Owners also receive the organization's digests (Weekly Agent digest, Weekly performance summary, Monthly performance summary) when they're turned on in Settings → General → Digests.

Organization manager

Runs the day to day: builds forms, posts updates, and reads the numbers. Never touches a bank detail.

  • Build forms
  • Post updates
  • Read payments
  • Run reports

Managers can't issue refunds, see bank details, or manage the team.

Viewer

Read-only. For a consultant, a board member, or anyone who needs the picture but not the controls.

  • Read the dashboard
  • Read reports

Viewers can't change anything.

Seeing who has access

Settings → Members lists each person with their Role and Access (when they were last seen). The number of team members you can have depends on your plan: up to 5 on Standard, up to 10 on Growth, and unlimited on Professional.

A note on bundlers: Bundlers are not a team role. They are contributors who share a form with their own link. They show on a form's Settings tab under Bundlers, with what each one raised. They don't sign in to your organization.

Changes to roles in SmartChange 2.0: The old Admin, Editor, Viewer, and Vendor roles are replaced by the three roles above.
